New systems require new processes. Communication in large groups is incredibly difficult without systems that are designed to streamline communication. This becomes even more difficult in a machine run by volunteers that are rostered on a fortnightly or monthly basis.
To streamline this, we’re working to simplify communicating with the tech team. To do this, we’re working on implementing a new Church Management System called Elvanto. This system includes a church directory, a powerful rostering system, service planners, and so much more. We’ve been trialing rosters through Elvanto across the church. Elvanto’s system allows for clear communication to our volunteers, giving them information about the service and letting them accept or refuse rosters.


Another challenge we’re wrestling with is communicating with our computer operator about slides, videos, and other displayed items in our services.
With the new computer, I set-up an email account and am using it as a hub for sharing files with the computer. This includes a place to send new songs, powerpoint, photos, and videos that may be presented in our services.
Operators import files into our presentation software (ProPresenter7) and use Elvanto to follow our weekly service plan.
In my experience, Powerpoint is not suitable for church presentations. It is a fiddly and complex software that requires a new powerpoint for every presentation. This is partly why we chose to go with ProPresenter.
ProPresenter is a software developed by a church group in the US for Church’s to use as presentation software. It centres around the concept of libraries that, once built, are reusable in any service immediately. All presentations are collected and can be used to create a service. This powerful software has is user friendly and simple for any volunteer to learn quickly.

The final system we’re working on, is a collage of volunteer roles and responsibilities. While this is not a fixed itinerary, our goal is to streamline our communication for everyone. We’re taking this as a step towards a more organised future.
